Loucon Policies & Procedures

Loucon is committed to providing a comfortable environment for all our guests. Please observe all Loucon policies and report any potential safety concerns to the host immediately.
The group leader is responsible for the appropriate supervision of underage guests, including the vetting of chaperones. Loucon strongly advises retreat groups with children or youth to conduct background checks for all adults and to implement Loucon's three-person rule standard for camping.
While Loucon offers supplemental insurance in the case of accident or injury, guests will be expected to file with their primary insurance carrier or pay out of pocket for expenses not covered by Loucon's policy.

During retreat season, guests are responsible for immediate first aid, as Loucon does not employ medical personnel. First aid kits are provided in the kitchens of all lodges and cabin areas. AEDs (Automated External Defibrillators) are located in the office and the dining hall.
Should anyone in your group need medical attention from emergency personnel, please call 911 and inform the host immediately.

All times listed in your schedule are based on Central Time, which is the time zone Loucon observes.

Please call or text the host phone (270)899-1206 when you are en route.
Please adhere to the 15 mph speed limit upon entering Loucon. A sign displaying your group's name will guide you. Follow the arrows to your designated lodging area. The area will be accessible, and the cabins for your group will have their porch lights on, allowing you to proceed with unpacking.
Your host will arrive to greet you shortly after your arrival. Access to reserved buildings is strictly limited to the duration between your scheduled arrival and departure times, unless explicit permission has been granted otherwise. Check-in and check-out procedures are detailed in the Retreat Guide. -
Parking is restricted to designated areas. Overflow parking is available on the road in front of the office. Driving or parking on the grass or on unmarked roads is prohibited.
All-terrain vehicles (ATVs) and golf carts require prior written approval from Loucon. Four-wheelers are not permitted. Approved vehicles must remain on paved surfaces, except in emergency situations.
Loucon is not liable for any accidents involving personal vehicles or for damage to personal property.

Upon arrival, your group will receive a packet detailing your scheduled meal and activity times.
Meal Times: Meals are generally scheduled for 8:00 AM, 12:00 PM, and 5:30 PM Central Time. Please arrive at the dining hall promptly for your scheduled times, as this ensures coordination with other groups utilizing Loucon's food service.
Guest Count and Billing: A minimum of 12 guests is required for Loucon to provide food service. If your group size falls below this minimum, you will be billed for 12 guests. You will be billed based on the number of guests on your reservation unless you provide a final meal count one week prior to your retreat.
Dietary Restrictions: Loucon is pleased to accommodate dietary restrictions. Please submit all allergy and specialty diet information at least two weeks before your arrival. Individuals with dietary restrictions should inform the kitchen staff when going through the serving line. The Dining Hall is a nut-free facility.

For more details, please consult the Retreat Guide. Guests should pack personal items, including bedding, pillows, towels, and toiletries. Loucon suggests bringing shower shoes, flashlights, and closed-toed shoes, especially for any adventure activities.

Groups are required to adhere to all Loucon rules and regulations and must be overseen by responsible, adult leadership at all times. Group leaders bear the sole responsibility for supervising their members.
Damages: The group organization will be charged for the cost of repairs for any damages incurred to facilities, furnishings, or grounds.
Furniture: Furniture must not be rearranged without prior permission.
Cleaning: Groups must ensure their trash is collected and the facility is left in an acceptable condition. An additional cleaning fee will be assessed if the area is deemed unacceptable upon departure.

We take inventory immediately following each retreat. Please be aware that the cost to replace any missing items (such as bedding, cookware, or silverware) will be added to your final invoice. The occurrence of theft or damage will also be a key factor in determining eligibility for future bookings.

All guests must sign a Participant Acknowledgement of Risk form before engaging in any activities. This form is included in the Retreat Guide. For guests under 18, a parent must sign this form. Guests without a consent form will not be allowed to participate.
Aquatic activities require a Loucon-certified lifeguard. Adventure and challenge courses require a Loucon-trained facilitator. Only Loucon staff are authorized to build fires.
Activity blocks are subject to availability, so we highly recommend reserving your preferred times and activities early.

Loucon is a smoke-free and vape-free facility.
Smoking and vaping are strictly prohibited on all Loucon property. If you need to smoke, you must do so outside of the Loucon gates. Please dispose of all cigarette butts properly; do not leave them on the ground.
The use or possession of alcohol and illegal drugs is not permitted at Loucon at any time.
Firearms are not allowed on Loucon property.

Only Rose Cottage is designated as pet-friendly and requires a non-refundable $50 cleaning fee. Guests are responsible for any additional charges to cover damage to furniture or property caused by their pet.
Service animals, with proper documentation, are permitted in all other areas of Loucon, provided the retreat organizers are notified in advance.
Failure to comply with this policy and bringing an unauthorized pet will result in a $100 fee, plus the cost of any incurred damages.

We strive to meet all our guests' needs. If you require adjustments to your booking, such as modifying arrival or departure times, or have any specific requirements while on-site, please contact us directly.
Public areas (Harbin Hall, Turner main room, etc) may be opened for set up one day before the group arrives for a fee of $150 per area. Bedrooms will not be available under the early set up fee.
